DiaspoKolis
What is DiaspoKolis?
The software for parcel-forwarding companies between the diaspora, anywhere in the world, and Africa — both ways. It follows every parcel from collection at the customer's to delivery to the recipient: pickup, labelling, loading, shipping, delivery, invoices. Your customers track their parcels online.
Who is it for?
Parcel carriers and forwarders, from the company just starting out to the one with several agencies — in Paris, London, Montreal or New York as well as in Lomé, Dakar or Abidjan. DiaspoKolis carries nothing itself: it equips your company, which remains your customers' point of contact.
Do I need to install anything?
No. DiaspoKolis runs in the browser, on a computer or a phone. Your agents can install it as an app on their home screen: it then carries your company's name and logo.
Getting started
How do I create my company's space?
From “Create my space”: choose your plan, fill in your company details and create your administrator account. We contact you about payment; once it is received, your space is activated and you can sign in.
How much does it cost?
A monthly subscription, with no commitment: Starter €89 excl. VAT / month, Pro €189 excl. VAT / month, Enterprise On quote. Payment is by bank transfer or mobile money; card payment is not available yet.
How do I add my team?
In Settings › Team, the administrator creates one account per person and picks their role: collector (pickups at customers'), courier (handover to recipients), or both. Everyone only sees what concerns them.
Day to day
How does a collection work?
Your customers' requests arrive in “Requests”. You schedule them by collector and time slot; each agent finds their round on their phone, with the route and a WhatsApp message ready to send to the customer. On site, they record the parcel, stick the label, and can take payment and hand over the invoice.
What are the QR labels for?
You print sheets of labels in your name in advance. At collection, one scan links the label to the parcel. From then on, every scan finds the parcel: at loading, on arrival, at delivery — and a customer who scans it sees where their shipment is. They print on A4 sticker sheets with an ordinary printer, or on a thermal roll printer (100 × 150 mm, or 100 × 50 mm for small parcels).
How do loadings work?
A loading is a container or an air shipment. You scan the parcels into it one by one, print the list, then move the whole loading forward one step (handed to the carrier, in transit, arrived): the parcels follow.
And delivery?
On arrival, couriers find the parcels to hand over, with the recipient's address and phone number. The handover is confirmed in the app and shows up straight away in the customer's tracking.
How are invoices made?
An invoice is created in seconds from the parcel, numbered automatically, in the currency you configure: euro, pound sterling, US dollar, Canadian dollar, CFA franc (WAEMU and CEMAC), naira, cedi, Moroccan dirham… You hand it over by WhatsApp (secure link), as a PDF or printed, and mark it paid when you collect payment. Finances sums up payments, unpaid invoices and revenue.
What do I need to print the labels?
Nothing special to get started: an office printer, preferably laser, with A4 adhesive label sheets. For large volumes, a thermal roll printer (100 × 150 mm labels) is faster and uses no ink. The help page of your space details the available formats, common models and the right settings.
Your customers
How do my customers track their parcel?
With the number printed on their invoice, or by scanning the label's QR code. The tracking page carries your colours, logo and contact details, in English or French: every step is dated, from collection to delivery.
Do my customers need an account?
No. Tracking and invoices open with a link or a number, without signing up.
Your space
Can I use my logo and colours?
Yes. In Settings › Company: logo, contact details, three colours and the prefixes of your parcel and label numbers. Your space, invoices, labels, emails and your customers' tracking pages all use them.
Can I see who did what?
Yes. The Log, for the administrator only, lists every change — who, what, when — with a link to the parcel, customer or invoice involved.
Can I have several agencies?
Yes, with the Pro and Enterprise plans: in Settings › Agencies, add as many agencies as you need, in the diaspora as well as in Africa, several in the same country if needed. Each agent belongs to their agency, and so do the parcels, departures and invoices they record. The invoice carries the agency's letterhead, the tracking page its contact details, and lists and Finances can be filtered by agency.
Can I adapt the tracking steps to the way I work?
Yes. In Settings › Steps, rename each step of the journey ("Arrived in Lomé" rather than "Arrived at destination") and hide the ones you don't use; a preview shows the tracking page as your customers will see it. The key steps — collected, arrived, delivered — always stay visible, so the journey's rules (label, delivery) apply whatever happens.
Security
Can other companies see my data?
No. Each company has its own space: its parcels, customers, invoices and team are visible to it alone. DiaspoKolis support can enter your space, at your request, to help you.
How are accounts protected?
Passwords are never stored in clear text (only a hash is), traffic goes over HTTPS, and repeated sign-in attempts are blocked for a few minutes.
